HAST uses approved educational technology services and third-party service providers to support instruction, assessment, communication, student information management, device management, safety, and school operations.

Under FERPA, HAST may disclose personally identifiable information from education records without prior written consent to school officials with legitimate educational interests. A school official may include a contractor, consultant, volunteer, or other third-party service provider that performs an institutional service or function for which HAST would otherwise use its own employees, provided the provider is under HAST’s direct control regarding the use and maintenance of personally identifiable information from education records and uses the information only for authorized school purposes.

This type of disclosure is separate from directory information. Directory information is limited information that may be released under HAST’s Directory Information Notice unless a parent or eligible student opts out. Approved educational service providers generally receive student information under FERPA’s school official exception, not because the information has been designated as directory information. HAST reviews educational technology services before approving them for school use and maintains a centralized software inventory to document approved services, privacy and compliance information, applicable restrictions, and data privacy agreements. Software may be approved for general use, approved with specific conditions or limitations, restricted to particular departments or administrative functions, or not approved for use.

As part of the review process, HAST considers the information a service collects, how student information is used and shared, age requirements, applicable FERPA and COPPA considerations, security and privacy practices, and whether a Data Privacy Agreement is required or available. HAST participates in Access 4 Learning and the Student Data Privacy Consortium process and uses the National Data Privacy Agreement, including applicable Indiana terms, when appropriate.

Approved services and their conditions of use are reviewed and updated as vendors, instructional needs, licensing, and privacy practices change. Staff are required to use HAST’s software review and request process before introducing services that are not already approved for the intended use.

Educational Technology Services and Privacy Notices

The services below represent educational technology and third-party providers currently used or available at HAST. Approval may be schoolwide or may be limited to particular grade levels, courses, programs, departments, or uses. Some services are approved only under specific conditions intended to limit the collection or disclosure of student information.

HAST reviews and updates its software inventory throughout the year. The availability of a service on this page does not necessarily mean that it is approved for every student, grade level, or instructional purpose.

Student Information System – Demographic information, all student records including grades and attendance.

School Wide Communication System – Demographic information, all student and parent contact information.

Mobile Device Management – Basic information such as name, class information, and IP adddress of School owned devices.

Safety Console – Filter all student web traffic, emails, Google documents. This is a requirement per the Children’s Information Protection Act. 24 hour safety console. Student name, grade, address, phone, parent information is shared.

School Wide Use – These accounts include username, password, and grade level. No other information such as address or data of birth is provided.

Curriculum Use – The following websites and apps may use information such as username, password, grade level, and/or STN. Some of these apps do not use anything except for email.
